Client onboarding

New clients spin up from one trigger.

The hours between a signed contract and a kicked-off project are where firms quietly leak hundreds of dollars per client. We build the trigger that fires on close-won and provisions every artifact - documents, folders, project spaces, intake forms, welcome messages - without a human checklist.

Where it bleeds

Signs the workflow is costing you.

  • Account managers spend 90 minutes on each new client setting up folders, channels, and project spaces
  • Welcome emails go out late or not at all because the handoff is ambiguous
  • Intake forms get sent twice because nobody knows whether the last person sent one
  • First-week experience varies wildly depending on which AM caught the handoff
What you get

The system, in concrete terms.

01

One trigger - deal closes, payment clears, or contract signs - kicks the whole sequence

02

Documents, folders, project spaces, and tools provisioned in under 2 minutes

03

Intake forms sent with smart defaults pulled from the deal record

04

Internal Slack channel created with the right people and a kickoff agenda

05

Audit log so you know exactly what fired, when, and where the gaps are

How it ships

Three steps, no theatre.

  1. 01

    Inventory the first 24 hours

We document every artifact, message, and tool a new client touches in their first day - the manual version becomes the spec.

  2. 02

    Build the provisioning chain

Folders, project spaces, contracts, kickoff decks, and welcome sequences fire in the right order with the right data attached.

  3. 03

    Add the handoff

AM gets a one-screen summary of what is ready, what is owed, and what the client should hear next.

Common questions

Answered before you ask.

Can different client types get different onboarding paths?

Yes. Branching is part of the spec - retainer vs project, enterprise vs SMB, US vs EU - each path gets its own template tree and the trigger picks the right one based on deal fields.

What if we change our process in six months?

Templates and triggers live in plain config. Your operations lead edits the welcome email, swaps a folder template, or adds a step without us getting involved.

How do we handle clients that need exceptions?

Every step has a manual override. The automation is the default path, not the only path - AMs can still intervene where it matters.
